I. Purpose
To protect the integrity, consistency, name and reputation of the Radiosurgery Society (RSS), and that any publication or public statement invoking RSS’s name or representing RSS’ voice is accurate, ethically sound and aligned with the Society’s mission.
II. Policy
Any manuscript, publication, editorial, guideline or public statement that references, invokes, or otherwise attributes content to the RSS, its committees, or its working groups must be submitted for reviewed and approval by the RSS Board of Directors (BOD) or designated delegate before submission or public release. As part of this policy, the BOD may designate an individual, such as the Executive Director or another appointed representative, to conduct reviews on behalf of the BOD streamlining the process while maintaining oversight.
The review will include assessment of accuracy, representation, conflict-of-interest, and consistency with RSS’s strategic goals and messaging, and appropriate attribution. The BOD may request revisions, clarifications, or removal of RSS attribution where it is not appropriate or could be misleading.
III. Scope
This policy applies to all RSS members, working groups, committees, task forces and collaborators preparing manuscripts that associate the work with the RSS.
The policy applies to any manuscript, editorial, commentary, white paper, press release, public statement, or other external communication that includes “the Radiosurgery Society” or “RSS” in the title, headline, byline or prominently in the text. The policy also includes any attributes, opinions, or recommendations to RSS or an RSS committee or working group.
IV. Procedures
Authors must submit the draft manuscript or communication to the RSS administrative office or RSS Secretary along with a brief cover note explaining the role of RSS in the piece and any relevant disclosures.
The administrative office will distribute the document to the BOD or BOD designated delegate for review and comment.
Approval requires the majority consent of the BOD or BOD designated delegate, documented in writing (email approval is acceptable).
Authors make any agreed changes, then obtain final confirmation that it is acceptable.
Only after RSS approval may the manuscript be submitted for publication under the RSS name.
V. Enforcement & Compliance
RSS reserves the right to request correction, withdrawl, or removal of a manuscript or public statement if published without approval or in violation of this policy.
